This policy explains how Boomers and Swingers Limited ("we", "us", "our") collects and uses your personal information when you visit our driving range, use www.boomersandswingers.golf, claim an offer or voucher, join our loyalty scheme, book with us or send us an enquiry. We've kept it in plain English. If anything isn't clear, get in touch.

We are the "controller" of your personal data, which means we decide how and why it is used. We are registered with the Information Commissioner's Office (ICO) under registration number ZB912047.

What we collect

When you claim 50 free balls ("Complete your details" form): your name, email address, mobile number, birthday, postcode, and whether you'd like to receive marketing from us.

When you claim a footgolf voucher: your name, email address, mobile number, date of birth, postcode and when you plan to visit.

When you send a Party & Group Enquiry: your name and contact details, the type of party or event, preferred dates, group size and anything else you tell us in your message. For kids' parties we only collect the details a parent or guardian chooses to give us (for example, the child's first name and age).

When you buy from us, book or use our loyalty scheme: details of purchases, gift cards, lessons, bookings, vouchers, and the loyalty "Stars" you earn and redeem. Card payments are handled by Square. We never see or store your full card details.

When you use our website: basic technical information such as your device, browser, pages visited and approximate location, collected through cookies (see "Cookies" below).

Why we use it, and our lawful basis

UK data protection law says we must have a lawful basis for using your data. Here's what we do and why:

  • To reply to your enquiry and arrange your booking: taking the steps you asked for before a contract, and then performing the contract.

  • To set up your customer record, issue and redeem free-ball offers, footgolf vouchers, gift cards, lessons and loyalty rewards: performing our contract with you (the offer or scheme you signed up to).

  • To use your birthday or date of birth to send you a birthday reward and to check age where it matters (for example, child or adult prices): our legitimate interests in running our offers fairly, or your consent where the birthday reward is a marketing message.

  • To use your postcode and planned visit date to understand where our customers come from and to plan staffing on busy days: our legitimate interests in running the business.

  • To send you news, offers and reminders by email or SMS: only if you have opted in (consent). Every email has an unsubscribe link and every text tells you how to opt out (for example, by replying STOP). You can also just email us.

  • To run, secure and improve our website and services: our legitimate interests.

  • To keep financial and tax records: legal obligation.

We don't make decisions about you using fully automated processes that have legal or similarly significant effects.

Who we share it with

We don't sell your data. We only share it with trusted service providers who process it on our behalf and under our instructions:

  • Wix: our website and website forms.

  • Square: payments, bookings, customer records, our loyalty scheme and marketing emails.

  • FireText: SMS (text message) marketing.

  • Cloudflare: hosting of our footgolf voucher and Mate & Date booking pages.

  • Google Workspace: our business email.

We may also share information if the law requires it (for example, with HMRC or the police), or with professional advisers such as our accountant.

Some of these providers store or process data outside the UK (for example, in the European Economic Area, the USA or Israel). Where they do, the transfer is protected by UK "adequacy" regulations or by approved safeguards such as the ICO's International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

How long we keep it

  • Enquiries: up to 12 months if no booking follows.

  • Customer, booking and loyalty records: while you're an active customer, plus 6 years for accounting purposes.

  • Marketing consent: until you unsubscribe. After that we keep a minimal record (such as your email address or mobile number) so we can make sure we don't contact you again.

When we no longer need your data, we delete it or anonymise it.

Keeping your data safe

We use reputable providers with strong security, limit access to staff who need it, and protect our accounts with passwords and two-step sign-in where available.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you;

  • ask us to correct anything that's wrong or incomplete;

  • ask us to delete your data;

  • object to, or ask us to restrict, how we use your data (including any use based on our legitimate interests);

  • ask for your data in a portable format; and

  • withdraw your consent at any time (for example, to marketing). This doesn't affect anything we did before you withdrew it.

If you're unhappy with how we've handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk or 0303 123 1113.

Cookies

Our website runs on Wix, which uses essential cookies to make the site work (for example, keeping it secure and remembering your choices) and to provide basic site statistics. Essential cookies don't need your consent.

We may add analytics or advertising tools (such as Google Analytics or social media pixels) in future. If we do, we'll ask for your consent first through a cookie banner and update this policy. You can also block or delete cookies in your browser settings, though some parts of the site may not work properly if you do.

Children

Our forms are meant to be filled in by adults. If you're under 18, please ask a parent or guardian to fill them in for you. For kids' parties we only collect the details a parent or guardian chooses to give us.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
